California Self-Employed Quarterly Taxes: The FTB 540-ES Walkthrough
Federal quarterly estimates are split evenly. California's are not, and that single difference is why so many California freelancers get an FTB penalty notice in a year when the IRS was perfectly happy. What Form 540-ES actually is
540-ES is California's estimated tax voucher for individuals, the state twin of federal 1040-ES. If you are a sole proprietor, single-member LLC or freelancer with California-source profit and you expect to owe $500 or more to the Franchise Tax Board after credits and withholding, 540-ES is how you pay it in during the year.
The 30/40/0/30 schedule nobody expects
California front-loads: 30% of your annual estimate is due 15 April 2026, 40% by 15 June 2026, nothing in September, and the last 30% by 15 January 2027. Divide your CA estimate by four the way you do for the IRS and you will be short in April and June, which is exactly where the penalty is calculated.
Working out the California number first
Start from net profit, not gross payouts: gross income minus mileage at $0.70/mi, home office, phone and internet business percentage, supplies and fees. California does not allow the federal QBI deduction, and it does not conform on some depreciation, so your CA taxable income is usually a little higher than your federal figure even with identical books.
A concrete 2026 example
A San Diego designer nets $72,000. California tax on that, single with the state standard deduction, lands near $3,400. Under the state schedule that is roughly $1,020 by 15 April, $1,360 by 15 June, $0 in September and $1,020 by 15 January. The federal and SE portion runs on its own even four-way split.
Who is exempt from the $500 rule
If your total California tax after credits will be under $500 — under $250 if married filing separately — you can skip estimates and settle at filing. Freelancers whose spouse over-withholds on a W-2 often land here legitimately; check the joint return, not just your Schedule C.
Paying through FTB Web Pay
Web Pay debits a checking or savings account for free, and it is mandatory once any single estimate or extension payment exceeds $20,000 or your prior-year total tax exceeded $80,000. Cards work through the state's processor with a fee near 2.3%. Keep the confirmation number: FTB matches payments by SSN and tax year, and a mistyped year is the most common cause of a phantom balance.
How the state penalty is computed
FTB charges interest-style underpayment on each shortfall from its own due date, tracked on Form 5805. It is separate from any IRS penalty, so a year can end with two notices for the same missed cash. Safe harbour is the same shape as federal: 90% of the current year, or 100% of last year's California tax, rising to 110% when prior-year AGI exceeded $150,000.
Uneven income and the annualisation option
If most of your billing lands in Q4, the flat 30/40/0/30 split forces you to prepay tax on money you have not earned. Form 5805 Part III lets you annualise instead, sizing each instalment on the income actually received. It is more paperwork, but it is the correct fix for seasonal contract work.
Keeping the two systems straight
Practically: one calendar entry per federal date, one per state date, and one spreadsheet row per payment showing agency, date, amount and confirmation. Run the numbers again mid-year — a client won or lost in June changes both schedules, and adjusting the remaining instalments is free while missing one is not.
