Etsy Tax Calculator: Turning 1099-K Gross Sales Into a Real Tax Number

The number on your Etsy 1099-K is almost never the number you pay tax on. Etsy reports gross sales — everything a buyer paid, including shipping they covered and the fees Etsy already took out before the money hit your bank. An Etsy tax calculator exists to close that gap: gross sales in, profit and tax out. This guide walks through the inputs that matter, the 2026 rules behind them, and a worked example you can copy against your own shop numbers.

Why your 1099-K looks bigger than your bank deposits

Etsy reports the gross transaction amount to the IRS, then subtracts listing, transaction, payment-processing, and ads fees before paying you. A shop with $42,000 in 1099-K sales might see $30,000 land in the bank. The IRS is not accusing you of hiding money — it simply expects you to report the $42,000 on Schedule C line 1 and claim the fees as expenses further down. Skip the expense side and you will overpay by thousands.

The 2026 1099-K threshold for Etsy sellers

For 2026, third-party settlement organizations including Etsy report on Form 1099-K once payments exceed $2,500 for the year, with no minimum transaction count in most states. Several states set lower thresholds. Either way, the threshold only governs paperwork: income is taxable from the first sale, with or without a form.

What the calculator asks for, and why

Each input maps to a Schedule C line, so getting them right is the whole game.

Gross sales

Take the figure from your Etsy 1099-K, not your payout total. If Etsy collected and remitted sales tax on your behalf, that money is not your income — exclude it from gross sales and do not deduct it either.

Cost of goods sold

Yarn, blanks, resin, wood, ink, printables you licensed, and anything a print-on-demand partner charged you per order. COGS is tracked separately from other expenses on Schedule C Part III, and it is usually the single largest deduction for physical-product shops.

Etsy fees

Listing fees, the 6.5% transaction fee, payment processing, currency conversion, Etsy Ads spend, and Offsite Ads commissions. Download the yearly CSV from Shop Manager rather than estimating.

Shipping and packaging

Postage you actually paid, boxes, poly mailers, tissue, tape, thank-you cards, and label printer supplies. Shipping income the buyer paid is part of gross sales, so the postage expense is what nets it out.

Self-employment tax is the part sellers forget

Etsy profit is self-employment income. You owe 15.3% on 92.35% of net profit — 12.4% Social Security up to the 2026 wage base plus 2.9% Medicare with no ceiling — on top of ordinary income tax. Half of the SE tax comes back as an above-the-line deduction, but the cash still leaves your account first. A $12,000 profit carries roughly $1,695 of SE tax before a dollar of income tax.

Worked example: a $42,000 Etsy shop

Gross sales $42,000. Materials $12,000, Etsy fees $4,400, shipping and packaging $3,800, ads $1,500, tools and software $1,200. That leaves $19,100 of profit before the home studio. Claim a 60% share of the $1,500 simplified home-office allowance and profit drops to about $18,200. Self-employment tax runs near $2,570 and federal income tax for a single filer with no other income lands close to $900 after the standard deduction absorbs most of the profit. Total roughly $3,470 — about 8% of gross sales, but 19% of profit. That percentage gap is exactly why sellers who set aside a flat share of deposits either hoard too much or panic in April.

Home studio deductions for makers

A spare bedroom used regularly and exclusively for production, packing, and photography qualifies. The simplified method gives $5 per square foot up to 300 square feet. Storage of inventory is the one exception to the exclusivity rule: a closet used to hold stock counts even if the room around it is personal space.

Mileage that Etsy sellers legitimately claim

Post office runs, trips to the craft or hardware store, supplier pickups, and craft-fair travel are deductible at the 2026 standard rate of $0.70 per mile. Two post office trips a week over a year is roughly 500 miles — $350 off your profit for keeping a log you can write in ninety seconds a week.

Quarterly payments and the safe harbor

Owe $1,000 or more and the IRS expects estimated payments on 15 April, 15 June, 15 September, and 15 January. Paying 100% of last year's total tax — 110% if prior-year AGI topped $150,000 — protects you from penalties even if this year's shop explodes. Sellers with a W-2 job can raise withholding on the W-4 instead and skip filing 1040-ES entirely.

Hobby or business? The distinction matters

If your shop shows profit in three of five years, or you keep books, market deliberately, and act commercially, it is a business and losses are deductible. Hobby classification kills expense deductions entirely while leaving the income taxable — the worst of both worlds. Documented pricing decisions and a separate business bank account go a long way.

Inventory, and when you can skip counting it

Small sellers averaging under the IRS gross-receipts threshold can treat inventory as non-incidental materials and supplies, deducting the cost in the year the item sells rather than tracking a formal inventory account. Most one-person Etsy shops qualify, which makes the calculator's simple COGS field an accurate stand-in.

Sales tax is a separate system

Etsy collects and remits marketplace-facilitator sales tax in every state that requires it. It does not touch your income tax and does not belong anywhere in this calculator. Only off-Etsy sales through your own site can create a sales-tax filing obligation you handle yourself.

Records that survive an audit

Keep the annual Etsy CSV, supplier receipts, shipping-label history, a mileage log, and bank statements for three years from filing. A dedicated business checking account is the cheapest audit insurance a maker can buy — it turns a shoebox reconstruction into a one-page export.
